Have the staff's 'Known As' name their display name on their profile and search results.

We propose that PeopleHR profiles prioritise the “Known As” name as the primary display name for all employees, with full integration into the search function so colleagues can be easily found using this preferred name.

Many employees use a “Known As” name that differs from their legal name. This can include shortened names, cultural variations, or chosen names used in day-to-day interactions. Importantly, it also includes transgender staff who may not yet have had the opportunity—or may not feel ready—to legally change their name. Displaying only the legal name can unintentionally cause discomfort, misidentification, or the need for individuals to repeatedly correct colleagues.

By using the “Known As” name as the visible profile name and ensuring it is fully searchable, PeopleHR would:

  • Promote a more inclusive and respectful workplace culture

  • Reduce the risk of deadnaming transgender employees

  • Improve internal communication by matching what colleagues actually call each other

  • Enhance HR data accuracy and consistency across systems

We believe this change is a simple but impactful step in supporting employee wellbeing, belonging, and everyday user experience within PeopleHR.

    Would definitely be a help with the higher percentage of staff now having different 'known as ' names to even five years ago

    This would really help us too as individual's 'passport name' can be very different to a 'known as'

    This would really help us. We have Chinese and Hong Kongese employees whose given name is not the name they use in work. The name they use is totally different, which makes them really hard to identify and confusing to other employees.
