We store all our company polices and procedure on individual HR documents as we need staff to sign and confirm that they have read and understood each document, it’s part of our ISO 27001 certification.
When we update a policy/procedure I can easily do a bulk upload of the document to their records; however before I do this, I have to manually delete each policy (that is being replaced) for each employee before uploading the new one.
Todays that were 2 polices over 41 employees a total of 82 documents deleted!
Our previous HR software (BreatheHR) allowed us to update a policy already held on individual HR record when a new version was produced and it reset the policy as unsigned for all employee, it was so much easier and efficient process. If something like this or the option to do a bulk deletion of a document held on the individuals HR records it would save a lot of time and remove a major frustration with the PeopleHR software.
Describe the Challenge | Before I could upload the updated version of two Company Policy/Procedure to our employees’ personal documents section on PeopleHR today (to allow for signatures). I had to go to each employee’s record, so 41 individual employees HR records, search for and delete both Polices/Procedure in their documents section. Could there be an enhancement to allow us to upload an updated version of the document (like on OneDrive if the document has the same name, it asks if you want to replace it) or do a bulk deletion of a document that is held within individuals’ documents section? N.B., we use the individual documents on employees HR records for all Company Policies and Procedures, as each document must be signed, by each employee, as read and understood; there we cannot use the general documents section as there are no signature options there. Adding the updated Company Policy/Procedure was easily done via a bulk upload option. |
Completely agree. I've had the same issues but with 420 employees - 420 documents to remove. We would like to see this flexibility in documents for more efficient signature capture and removal of out of date documents on employee records. At the moment, document management is quite restricted in PHR.
