Dedicated PVG field and automated expiry alerts

To ensure our charity remains fully compliant with safeguarding legislation, it is essential that we monitor all staff PVG (Protecting Vulnerable Groups) memberships and track their renewal dates. Although PVG membership does not technically expire (But there will be 5 year membership renewal from April 2026), regular re-checks and ongoing monitoring are considered best practice and help us demonstrate due diligence. By keeping accurate records and reviewing PVG status in advance, we can prevent any delays that might temporarily restrict staff from working with protected groups. This proactive approach protects the people we support, maintains the integrity of our services, and ensures that no member of staff is placed on hold due to an avoidable administrative lapse.

Describe the Challenge One of the biggest challenges our charity faces is ensuring that all staff who work with protected groups maintain up‑to‑date PVG membership. Although PVG membership does not technically expire, delays in updating or re-checking PVG status can create operational risks. If a renewal is missed or paperwork is delayed, staff may need to be temporarily removed from regulated work, which disrupts service delivery and places additional pressure on the team. Managing this process manually can be difficult, especially when multiple staff members have different PVG timelines. Without a clear tracking system and timely reminders, there is a real risk of administrative oversight leading to non-compliance, reduced staffing capacity, and potential safeguarding concerns. This makes it essential to have a structured, proactive approach to monitoring PVG status across the organisation.
