Pro-rata calculations

The system does not calculate pro-rata as expected in terms of holiday calculation. If a working pattern is changed, I would expect that it would look at the number of weeks at the old pattern and the number of weeks at the new pattern and then add the two together.

No-one can tell me why this isn't the case, but the system allocates more holiday then it should and we have to manually over ride it which isn't the point of having an HRIS.

Furthermore, often an employee will want to know the impact of a change before the effective date and it doesn't provide the ability to check this. It will only give you the new balance (which is usually wrong), not how much they will have left after the change.

The holiday calc for a new starter is not correct according to the Gov information based on months in which the worker worked. We manually override nearly all in-built calculations and follow the Gov Holiday Leave Calculator every time.

I agree, the main issue I seem to have is around those situations where someone is part time and changes their part time hours part way through the year. System then seems to calculate further pro-rata on the current pro-rata entitlement rather than the full time entitlement.

We also have an issue with holiday calculations when someone starts and leaves part way through the year (FTC). If you add the holiday they are entitled to for the period worked, you then have to manually update the holiday before marking them as a leaver so it can calculate at the yearly rate. The holiday calculator should pick up the start and end dates, especially if you've already noted on the system that they are FTC.

The key issue we have is with changing work patterns as per the issue - the system does not calculate this and also with FTC end dates not leading to pro-rated holiday. Also it would be useful to be able to set the rounding to round up to the nearest X and allow us to select

Slightly different to the original issue (which I agree with), but pro-rata holiday calculations seem to be made according to hours worked per week, not days per week, which I believe is the correct way to do it (according to Gov.uk and ACAS). So I've had to manually override the system to correct the holiday allowance for employees who work part-time hours but over 5 days.

Holidays for part time aren't calculated correctly. You always have to make adjustment.

If a person works 4 hours per day over 5 days but the standard is set to 40 hours over 5 days, the system calculates that as half time (which it is in hours) and halves the holiday allowance, even where it is managed in days. Where in fact in days that is the same amount as full time as the working pattern is over 5 days. If that could be addressed too that would be helpful

    Hello all,

Thank you for raising and voting on this issue!

We are currently investigating holiday pro-rata calculation issues in PeopleHR to find a more robust solution for the future.

Are there any other known use cases, different from the one raised here, where holiday pro-rata isn't correctly calculated automatically and requires manual intervention or workarounds?

    Kind regards,
    Cornel
